The Event Rentals Manager is responsible for securing, negotiating and directing event rentals at Mark Arts. This role is also responsible for the event facilities and vendors while working within the approved budget. Additionally, the role will work actively in the Wichita and surrounding communities to secure new event rental business annually.
Duties:
· Plans and directs event rentals. Maintains records on past rentals, pending prospects and status or upcoming rentals
· Attends events to oversee activities and ensure details are handled as planned. Works with or gives guidance to customers, volunteers and/or donors involved in event planning
· Negotiates and contracts with vendors for a variety of goods and services related to event rentals. Monitors delivery of goods and services to ensure contract terms are satisfied
· Represent and market rentals at Marks Arts at bridal fairs, special event expos, etc.
· Develops and maintains an extensive network of contacts, both internal and external, to facilitate event rentals and vendor coordination
· Develops and manages approved budget. Leads implementation of long-term building maintenance for the various rental areas.
· Determines staffing needs for rental events. Authorizes or secures temporary or additional staff, as required
· Research & evaluate trends in event spaces and make recommendations on best utilization of Mark Arts space for optimal revenue
· Monitor competition in the community (including gaps) and make recommendations accordingly
· Coordinate with Director of Development & Marketing to produce printed marketing materials, utilize social media and promote rental opportunities on Mark Arts’ website
· Develops rental fee structure to be approved by Board of Directors with a sustainable model for a wide range of events
· Participate on appointed Board Committee
· Manage Profit & Loss statement for event rentals in conjunction with the appointed Board Committee
Skills & Abilities Required:
· Proven sales experience
· Exceptional communication and negotiation skills
· Pleasant telephone manner, prompt follow-up when necessary
· Able to work efficiently and successfully under minimal supervision, yet seeks and takes direction appropriately
· Detail-oriented and organized
· Flexible, innovative, results-oriented, and shows initiative
· Calm under pressure, with creative problem-solving skills
· Proficient with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
· Ability to handle multiple tasks and projects with conflicting deadlines
· Able to work a flexible schedule
Education/ Experience Required:
· 3-5 years in event planning with heavy administrative responsibilities
